1. Introduction
1.1 These Terms and Conditions ("T&Cs") govern the relationship between Wedawai ltd. ("we", "us", or "our"), registered at 124 City Road, London, E1V 2NX, United Kingdom, a company registered in England and Wales Company Number: 15978018 and any person or entity ("you" or "your") that uses our services to find and book wedding venues.
1.2 By using our services, you agree to these T&Cs. If you do not agree, please refrain from using our services.
2. Our Services
2.1 We act solely as a booking agent for wedding venues in Europe. Our role is to assist you in finding and securing a venue for your wedding or related event.
2.2 We do not own, operate, or control the wedding venues. The contract for the venue hire is between you and the wedding venue directly.
2.3 Additional services and additional service providers that will be part of your wedding day can be recommended by the venue or the wedding planner. You have the flexibility to organise your own suppliers or accept assistance from the wedding planner/coordinator. This might be at extra charge by them. Payments for additional services should be made directly to the additional suppliers unless agreed otherwise between yourselves and the planner.
3. Booking Process
3.1 Upon receiving your enquiry via online chat, email or a scheduled call, we will provide a selection of venues that match your requirements, alternatively you can make your selection on our website.
3.2 Once you have selected a venue, you will fill in our date request form completely and we will request the wedding date for you. You can make a payment and book the venue on our website once happy with the wedding date and venue's terms & conditions. We will confirm the booking in writing, and you will receive details of the venue's terms and conditions to keep.
3.3 The booking is only confirmed when we receive confirmation from the venue, and you have made the required deposit payment via our website.
3.4. Your Price
We reserve the right to alter the price of any of the wedding venues shown on our website at any time without notice. You will be advised of the current price of the venue price that you wish to book before booking.
4. Fees and Commission
4.1 Our service fee is included in the total booking fee quoted to you.
4.2 The total booking fee (a deposit) is payable by you to us at the time of booking. This fee is non-refundable unless otherwise stated in the venue's terms and conditions.
4.3 The price is inclusive of our commission, VAT and any other taxes required by the country where the wedding is taking place.
4.4 Price does not include taxes for local accommodation, this will vary from location to location and is part of an accommodation within the country, not a wedding or the event itself. This is usually paid at the reception or during a check-in in the local currency.
5. Payment Terms & Exchange rate
5.1 Payment of the booking fee (a deposit) must be made in full at the time of booking unless otherwise agreed in writing.
5.2 Booking fee (a deposit) varies from venue to venue depending on their terms & conditions
5.2 Payments can be made via our website on each wedding venue’s page in Pounds Sterling or Euros on request. We accept all major payment cards.
5.3 Failure to make payment may result in the cancellation of your booking.
5.4. Final payments with any additional extras (additional guests and any other services organised by the local wedding planner) must be paid no later than 10 weeks before the wedding date. The final invoice will be provided to you.
5.5. The price of the wedding venue is shown on your booking confirmation summary which will be sent to you within 7 working days after you book. The prices shown on our website may change at any time and are updated frequently due to currency fluctuation, special offers and other local changes.
5.6. Changes in exchange rates, fees from venues, Registrars and other supplies may mean that the price of your wedding arrangements may change after you have booked.
We will absorb any price increase due to the currency fluctuation for up to 2% of the venue price. Any increase above 2% in the currency fluctuation will be charged to you in the final
invoice.
5.7. For conversions involving Euros and Pound Sterling, we use the average exchange rate for the Euro to Pound Sterling as recorded during August 2024. This average rate is determined based on publicly available exchange rate data from reputable financial sources, such as the European Central Bank or the Bank of England.
The exchange rate applied is final and non-negotiable unless otherwise stated in writing prior to booking confirmation. Any fluctuations in currency rates after August 2024 will not affect the agreed prices.
6. Financial Protection
6.1 We are a fully registered limited company in the United Kingdom, operating under UK laws and regulations. Our company details are as follows:

6.2 As a responsible business, we ensure that we have appropriate insurance coverage in place, including public liability insurance, to protect both our clients and our business operations.
6.3 While we act solely as a booking agent, any payments made to us are handled securely, and we take all reasonable steps to protect your financial transactions.
6.4 We recommend that you consider taking out additional wedding insurance or travel insurance for further financial protection against unforeseen circumstances.
6.5 In the unlikely event of any disputes or financial issues, we operate under the jurisdiction of the laws of England and Wales, ensuring that your consumer rights are protected.
7. Cancellation and Amendments
7.1 Any cancellation or amendment requests must be made in writing to hello@wedawai.com and will be subject to the venue's terms and conditions.
7.2 We will assist with any cancellation or amendment requests but cannot guarantee that the venue will accommodate these changes.
7.3 In the event of a cancellation, any refund due will be subject to the venue’s cancellation policy. The booking fee (deposit) is non-refundable.
8. Liability
8.1 We act solely as an intermediary between you and the venue. We are not responsible for the performance or quality of the venue. However, we do take great care in choosing our recommended venues and suppliers abroad.
8.2 We shall not be liable for any loss or damage arising from the venue's failure to meet your expectations or for any other issues related to the venue.
8.3 Our liability to you is limited to the amount of the booking fee paid to us.
8.4 We do recommend that you organise suitable wedding insurance as well as travel insurance.
9. Communication with the Service provider – venue
We will help you communicate with the venue should there be a 4-week or longer delay in their replies, but that doesn’t mean we’re taking responsibility for the Travel Experience or anything the Service Provider does/doesn’t do. We can’t guarantee that they will read anything from you or that they’ll do what you ask. In itself, the fact that you contact them or they contact you doesn’t mean you have any grounds for legal action. If you need help, please contact us via chat or email provided on our website. State the date of the wedding booked, the venue and your names.
9. Data Protection
9.1 We will process your personal data in accordance with our Privacy Policy, which is available on our website.
9.2 By using our services, you consent to the processing of your personal data for the purpose of providing our services.
10. Measures against unacceptable behaviour
10.1 We are committed to ensuring a positive and respectful experience for all parties involved in the booking process, including venues and clients.
10.2 Any form of unacceptable behaviour by you or your guests, including but not limited to abusive language, harassment, threats, violence, or damage to property, will not be tolerated.
10.3 In the event of any such behaviour, the venue reserves the right to cancel your booking immediately, and we, as the booking agent, may support this decision.
10.4 If a booking is cancelled due to unacceptable behaviour, no refund will be provided, and you may be held responsible for any additional costs or damages incurred.
10.5 We always encourage respectful and courteous communication and welcome feedback to resolve any concerns in a constructive manner.
11. Force Majeure
11.1 We, as the booking agent, and the venues we represent are not liable for any failure to fulfil our obligations under these Terms and Conditions due to events beyond our reasonable control ("Force Majeure").
11.2 Force Majeure events include but are not limited to:
Natural disasters (e.g., floods, earthquakes, hurricanes, fires)
Acts of war, terrorism, or civil unrest
Governmental restrictions or actions, including lockdowns and travel bans
Epidemics, pandemics, or outbreaks of infectious disease
Strikes or labour disputes
Any other unforeseeable circumstances that prevent the event from going ahead as planned.
11.3 In the event of a Force Majeure, we will work with you and the venue to reschedule the event where possible. However, we cannot guarantee that an alternative date will be available, nor can we provide refunds unless specifically offered by the venue’s terms.
12. Legal Paperwork, Visas, and Passports
12.1 It is your full responsibility to ensure that all necessary legal paperwork, visas, and valid passports are in place for travel to the wedding destination and for getting legally married in that country.
12.2 While we and our local suppliers can offer advice and guidance, we do not take any responsibility for ensuring that you or your guests meet the legal entry requirements for the destination country, including visa applications and passport validity.
12.3 We also do not assume responsibility for any legal paperwork required to get married in the destination country, such as marriage licenses, certificates, or Decree Absolute. You are advised to check with the appropriate local authorities and embassies to ensure compliance with all legal requirements.
12.4 To simplify the process, we recommend considering a symbolic wedding ceremony at the destination, as it often involves fewer legal complexities. You may choose to legally marry in your home country before or after the symbolic ceremony.
12.5 Failure to obtain the necessary documentation, visas, or passports may result in the cancellation or disruption of your wedding plans. We cannot be held liable for any issues or costs arising from such circumstances.
13. Photography Usage Rights
By proceeding with our services, you grant WEDAWAI Ltd. the right to use photographs and/or video footage from your wedding event, including behind-the-scenes images taken during the preparation and celebration. These images may be used for promotional, marketing, and advertising purposes, including but not limited to use on our website, social media platforms, brochures, and other marketing materials.
We respect your privacy and understand that your wedding day is a personal event. Therefore:
If you would prefer not to have any specific images or footage used, please notify us in writing before or within 7 days after your wedding event.
Any requests for removal of already-published images will be honoured within 5 business days of receiving written notice.
Please note that no personal information (such as your name, or specific wedding details) will be shared without your prior consent.
14. Complaint Procedure
14.1 We take all complaints seriously and are committed to resolving any issues that may arise during your wedding planning journey with our suppliers.
14.2 If you encounter any difficulties or have concerns regarding our service or any of the suppliers we work with, please contact us as soon as possible so we can assist you in resolving the matter.
